How to Use the Attribution Tracker

Everything you need to know to track leads, create links, and measure content performance — in plain English.

The 6-Step Flow

1. Onboard a Client

Go to Clients → + New Client. The wizard walks you through connecting GHL, setting up custom fields, and installing the tracker — step by step. Takes ~5 minutes.

  • You need the client's GHL Location ID + a Private Integration Token
  • The wizard tests the connection BEFORE creating anything
  • 6 starter links are auto-generated (ig-bio, yt-description, email-sig, etc.)

2. Create Tracked Links

Go to a client's page → click ⚡ Quick Link. Choose a platform (YouTube, Instagram, Facebook, etc.), type a label, and click Create. Or click "Generate Instantly" for zero-field one-click link creation.

  • Each link is unique and tracks every click + who converts
  • Paste a YouTube URL and the video title auto-fills
  • Platform pills auto-set the UTM source (youtube, instagram, email, etc.)

3. Place Links in Content

Copy the tracked link and put it wherever the client's audience will click it. YouTube descriptions, Instagram bio, email signatures, Facebook posts, podcast show notes — anywhere.

  • Each platform should have its own link so you know WHERE leads come from
  • The link redirects to the client's funnel/lead magnet — visitors don't see our tracker
  • You can manage all links at Client → Manage Links (delete, toggle active/inactive)

4. Clicks Get Tracked Automatically

When someone clicks a tracked link, we record: who clicked, when, what device, which content drove them. Then we redirect them to the client's funnel page with UTM parameters attached.

  • A visitor cookie is set so we recognize them across visits
  • Click counts update in real-time on the dashboard
  • The tracker script on the funnel page captures first touch + last touch attribution

5. Form Submissions Become Leads

When someone fills out the GHL form on the funnel page, the tracker captures their email, phone, and name + the full attribution journey. A lead is created in the dashboard with first touch (what INTRODUCED them) and last touch (what CONVERTED them).

  • Duplicate submissions update the existing lead (no duplicates)
  • Attribution data syncs to GHL automatically (13 custom fields)
  • If GHL sync fails initially, it retries every 15 minutes via cron

6. Check Performance in the Dashboard

Each client's dashboard shows total leads, clicks, top source, content leaderboard, and first/last touch attribution breakdown. The agency overview shows all clients at a glance.

  • Content Leaderboard shows which videos/posts drive the most leads
  • Rates are scoped: Paid CVR = leads ÷ ad visitors; Form completion = finished ÷ engaged; per-page CVR = leads ÷ that page's visitors
  • First Touch = how they found you | Last Touch = what made them convert

Key Concepts

First Touch

The FIRST way someone discovered the client. If they clicked a YouTube link first, YouTube is the first touch — even if they later came back via Instagram.

Last Touch

The LAST interaction before someone became a lead. This shows what CONVERTED them. Often different from first touch.

Touch Points

Every interaction before converting: page views, link clicks, form submissions. Total touches = how many interactions it took to convert.

CVR (Conversion Rate)

Always scoped to a stage: Paid CVR = leads ÷ unique ad visitors; Form completion = finished ÷ engaged; per-page CVR = leads ÷ that page's visitors. The old blended leads ÷ clicks definition is retired — ad traffic lands directly on pages and never touches short links, so click-based rates undercount or blow past 100%.

Tracked Link

A unique URL that redirects to the client's funnel while recording who clicked, when, and from where. Created via Quick Link.

GHL Sync

Attribution data (13 custom fields) pushed to the client's GoHighLevel contact. Happens automatically after form submission + retries every 15 min.

What Runs Automatically

YouTube Video Sync

Runs daily at 6 AM. Fetches new videos from each client's YouTube channel and auto-creates tracked links.

GHL Attribution Sync

Runs every 15 minutes. Retries pushing attribution data to GHL for any leads that didn't sync on first attempt.

Starter Link Pack

When a new client is onboarded, 6 tracked links are auto-created (ig-bio, ig-story, yt-description, twitter-bio, email-sig, linktree). Ready to share immediately.

Common Questions

Do I need access to the client's YouTube account?

No. Just paste their public YouTube channel URL (e.g. youtube.com/@channelname) in Settings. The YouTube API is public — no login needed.

What if someone fills out the form twice?

The system detects duplicates by email. Second submission updates the existing lead (refreshes last-touch, bumps touch count) — no duplicate created.

What if the GHL sync fails?

The cron retries every 15 minutes. No data is lost. Check the lead's 'GHL Synced' status in the leads list.

Can I delete a tracked link?

Yes. Go to Manage Links → trash icon → confirm. Historical click data is preserved, but the redirect URL stops working.

How do I track email campaigns?

Create a Quick Link with the Email platform pill selected. Put that link in your email. Every click is tracked as utm_source=email.

How do I change a client's destination URL?

Client page → gear icon → Settings → update Default Destination URL → Save. New Quick Links will use the updated URL.
